Every year in January, there shall be an election of the joint Football & Cheer Board Members. The current Program Director shall oversee the process of nominations and determine the specific voting procedures for new position holders, unless said responsibilities are delegated by him/her to the current Vice President or another official designated party. Ideally, the President will work with the Vice President to organize the presentation of newly nominated names.

Applicants for official board positions will be required to provide basic information about his/her interest and experience for the role and should ideally be interviewed by the President (or his/her stand-in) prior to a vote on his/her candidacy. This application process shall be open to any football parents and volunteers of the Pottsgrove Future Falcons (PGFF), who have residence within Pottsgrove School District, and will be advertised as such – unless a simple majority waives this qualification for an applicant. The term length for each position is two (2) years and re-nomination and the voting process must occur annually. Due to present challenges, there is no maximum length of term, although the recommended length of term is five (5) years.

Meetings will occur monthly. For the calendar year 2019, they will take place the Sunday following the ICFL Meetings.

The Board shall be made of no more than fifteen (15) sitting members at any given time. A position can only be added/removed by unanimous vote, or with the President ‘s explicit approval. Persons attending a meeting must be official position holders, or otherwise invited to attend by a former majority vote. One person may inhabit up to two positions simultaneously in times of extreme need but shall only be permitted one (1) vote.

Most motions shall be passed by simple majority vote of total membership on the day it is proposed. Lesser motions may be determined by a formal verbal Yes or No, to be tallied on the record. Major motions can and should be determined by secret ballot – Yes or No paper votes will be cast anonymously. Only one (1) member need to call for major vote procedure for it to be enacted. The Secretary shall read the results to be tallied on the record.

Motions can be “qualified” by any of the current program coordinators/directors (Tackle, Flag or Cheer) if applicable – immediately prompting a supermajority process. Therefor, the motion will require a minimum ¾ vote to pass. This is to prevent motions which may adversely affect one (1) particular program at the expense of another and to encourage cooperative efforts.

Remote votes may be called in by an absent member following a vote if necessary, to reach a threshold, provided they are provided the pertinent points by the Secretary. Remote votes may also be cast in the event of an emergency matter which the Program Director (for whatever reason) cannot take unilateral action on but will require a ¾ (supermajority) vote pass. If not, enough members are present to properly conduct a vote, it is advised that the issue be tabled until possible to discuss the issue in-person.

Coaches can only be removed following an official grievance in writing, and EITHER a ¾ (supermajority) affirmative vote, or a direct appeal to the President. No grievance can be filed twice for the same incident. Position holders can only be dismissed by the President, and/or if found to be in direct violation of the Code of Conduct.

Rule changes will require a ¾ (supermajority) vote and will be confirmed assuming they are found to be acceptable to Pottsgrove Future Falcons at large and its by-laws and mission.

The current positions are: President, Vice President, Treasurer, Secretary, Fundraiser Coordinator, Communications Director, Team Mom Coordinator, Webmaster, Spirit Wear Coordinator, Cheer Director, Tackle Coordinator, League Representative, Flag Football Coordinator, Equipment Coordinator, and Sponsorship Director.

President:

The President will work with coordinators and ICFL League Rep (If not self) to set match dates and organize schedules. He/She will be the central figurehead for the program, attend to field and away games whenever necessary. He/She will be central point of contact for coaches and will provide over-arching program goals and vision, and direct activities to that end. He/She will be primarily responsible for determining matters of discipline, with assistance from the Vice President and the board if needed. He/She will have the ability to suspend any player found in violation of PGFF conduct expectations, He/She will work with the treasurer to organize and present a budget and shall be named on bank account and authorized to transact at treasurer’s discretion, He/She will have the tie-breaking vote in any simple majority voting matter. 

Vice-President:

The Vice President will serve as a stand-in for the President in his/her absence and assume accompanying leadership responsibilities. He/She will assist the President in any and all possible matters to fulfill his/her many duties, especially matters of logistics and strategy. He/She will be responsible for ensuring current coverage of insurances and competition of coach/volunteer background checks, in concert with President. He/She will work in concert with President, Secretary, and Communications Director to maintain order throughout the program. He/She when standing in for President will have the tie-breaking vote in any simple majority voting matter.

Treasurer:

The Treasurer shall be responsible to collect all proceeds and keep record of all financial transactions. Account balances and expenditures will be reported to the board at monthly meetings. Board shall maintain oversight of the treasurer by granting president access to banking as a named officer authorized on the account signature card. Treasurer shall maintain conditions for any receipts and spending, at the direction of the President, Vice President and Secretary. Treasurer shall be notified of any expenditures and be provided receipts for all authorized expenditures. 

Secretary:

The Secretary will document any and all meetings with typed minutes, as well as any corporate resolutions.

Fundraiser Coordinator:

The Fundraiser Coordinator will work in concert with President and Coordinators to launch fundraisers that reach out to all participants. He/She will be responsible for football/cheer fundraisers and their implementation/execution. He/She will be responsible for recording, handling, and reporting proceeds of fundraisers to the President. He/She will be responsible for outreach in the community for the purpose of donations, advertising and fundraising. He/She will work with the President and Coordinators to monitor expenses and costs, and fundraising income.

Communications Director:

The Communications Director will in conjunction with the secretary will be responsible for league-wide correspondences. He/She will serve as a go between for parents and President whenever possible and assist with Public Relations. He/She will maintain up-to date rosters and contact lists via coordinators and coaching staff and work with President during/after registration to do so. He/She in conjunction with the Secretary will be responsible for league-wide correspondences. He/She will monitor incoming emails regularly and forward to the proper parties.

Team Mom Coordinator:

Team Mom Coordinator will communicate with and organize Team Moms whenever necessary, assist equipment manager in collection and maintenance of equipment when requested. He/she will coordinate outgoing messages with Secretary and Communications Director to ensure Team Moms stay regularly informed of pertinent information and help Team Moms gather volunteers and direct their efforts when necessary.

Webmaster:

The Webmaster’s duties include maintaining the organizations web presence, through Website, Facebook and integration of any additional web-based management or organizational components.

All login information shall be maintained by the webmaster and supplied if requested to the board upon demand. In the event the webmaster leaves the organization all login and password information shall be relinquished to the board. Any web-based presence created for the organization are property of the organization.

Spirit Wear Coordinator:

The Spirit Wear Coordinator will design official team apparel for sale during the regular and off-season. He/She will maintain a catalog both online and off for parents and other interested parties to purchase said spirit wear. He/She will provide spirit wear in a reasonable time frame from time of purchase by the league. He/She will only provide quality products that appropriately represent PGFF.

Cheer Coordinator:

The Cheer Coordinator will be responsible for the structure of the cheer program and its teams. He/She will unilaterally decide upon matters which pertain to cheer only. He/She will determine the coaching staff of each team prior to the season, which shall be submitted for approval via majority vote. He/She will coordinate practice times and oversee cancellations for events/practices. He/She will be responsible for the organization of outside events and activities, and report back to the board about them. He/She will manage the overall direction of routines and practices to maintain consistency across teams. He/She will maintain a cheer coaching handbook to be provided for every team’s leadership group, to assist with skills development and practices. He/She will work with equipment manager to ensure proper hand out and return of cheer uniforms.

Tackle Football Coordinator:

The Tackle Football Coordinator will manage the rosters of Grades 2nd through 6th in concert with coaching staffs. He/She will determine the coaching staffs of each team prior to season, which shall be submitted for approval via majority vote, He/She will coordinate practice times and oversee cancellation of tackle games/practices in concert with coaching staff. He/She will insist upon behavior properly representative of PGFF, and in accordance with its policies for conduct among all coaching staffs, volunteers, and players – and alert President of any violators. He/She will manage the overall direction of play and programs management to maintain consistency across all 5 grade groups. He/She will maintain a playbook and coaching handbook to be provided for every team’s leadership group, to assist with skills development and practices.

Flag Football Coordinator:

The Flag Football Coordinator will manage the rosters of kindergarten & 1st Grade in concert with coaching staffs. He/She will determine the coaching staffs of each team prior to season, which shall be submitted for approval via majority vote. He/She will coordinate practice times and oversee cancellation of tackle games/practices in concert with coaching staff. He/She will insist upon behavior properly representative of PGFF, and in accordance with its policies for conduct among all coaching staffs, volunteers, and players – and alert President of any violators. He/She will manage the overall direction of play and programs management to maintain consistency across teams and to properly transition to the Tackle program. 

League Representative:

ICFL League representative shall act as a liaison for the organization attending all required ICFL meetings (or arranging a suitable replacement), relaying information important to the PGFF, and representing the organizations best interests at league meetings. 

Equipment Manager:

The Equipment Manager will be responsible for inventory count of equipment and uniforms. He/She will work with coordinators to ensure that equipment is handed out and returned in orderly fashion, with record-keeping. He/She will need to ascertain which equipment is safe, certified, and game-ready. He/She will work with coordinators to submit orders for new equipment and to apply for re-certification of old equipment. He/She will maintain quality, appearance, and organization of all equipment and uniforms. He/She will maintain storage and maintenance of said equipment and uniforms (An additional equipment manager may be permitted to this position if deemed necessary).

Sponsorship Director:

The Sponsorship Director will solicit for sponsorships for the PGFF. He/She will work with the President and Coaches for when sponsorships are obtained to ensure Sponsorship Policy is adhered to. He/She will ensure all sponsorship payments are collected. He/She will communicate with Treasurer on checks and/or refunds (detailing payments on sponsors). He/She will work and communicate with Board of Directors to ensure timely sponsorship imprints are completed. He/She will place and remove selected sponsorship signs at all PGFF events, that are scheduled throughout the year (i.e. games, fundraisers, etc.). He/She will work with the President to ensure sponsorship plagues are completed and presented to select sponsors in a timely manner. He/She will ensure artwork / logos are obtained from select sponsors and submitted to the Webmaster to be presented on the front page (rolling sponsors images) on the website! He/She will ensure Sponsors are listed by the correct sponsor level and list is submitted to the Webmaster to be presented under the General / Sponsor tab of the website. 

Cooperation and an unwavering focus on the well-being, enjoyment, and learning of the children involved in the program must be paramount. The goal of this Board is to strengthen the current PGFF program, develop skills needed for Middle and High School, and provide a safe sporting outlet for the youth of our community. The Board members will encourage, support, and exemplify the PGFF values of integrity, respect, and teamwork.
